Groups let you manage Users together instead of one at a time. In most cases, you’ll use a Group to assign Users to Objects in bulk, so access flows down your Project/Study/Data Package hierarchy. There is also one special case: adding Users to the Rule Designers group grants them the ability to author custom rules in the Rules Designer. This article covers how an Administrator creates and manages Groups, and how to set up the Rule Designers group.
🔑 Who can manage Groups
Managing Groups requires the Administrator Role. Users with the System Manager Role can view Groups but cannot create, edit, or delete them, or change their membership.
📝 Note: Administrators cannot add themselves to a Group. If an Administrator needs to be in a Group, another Administrator in the environment must add them.
👪 Creating a Group
Go to Administer → Groups.
Click New Group.
On the Details tab, give the Group a Name and, optionally, a Description and Email.
In the Users field, select the Users you want to include.
Click Save.
💡 Tip: Many teams name a Group after the department or Project it supports, so its purpose is obvious at a glance.
⛲️ Using Groups for bulk Object access
You can use a Group to assign Users to Projects, Studies, and Data Packages all at once. Because assignments trickle down the hierarchy, assigning a Group to a Project gives every member access to the Studies and Data Packages inside it. ✍️ Setting up the Rule Designers group
To let Users create and edit custom rules in the Rules Designer, add them to a Group named exactly Rule Designers.
🚨 Important: This Group is not created automatically, and the name is case-sensitive — it must be typed exactly as Rule Designers. A different name or different capitalization will not grant Rules Designer access.
Go to Administer → Groups and click New Group (or open the existing Rule Designers Group).
Set the Name to
Rule DesignersIn the Users field, add the Users who will author rules.
Click Save.
Members of this Group can now create and edit company-specific rules in the Rules Designer.
📝 Note: A User added to Rule Designers does not need any other Role. If they have no Role, they gain read-only access to Metadata (Forms, Standards, Terminologies, Reference Data, and Issue Metadata) so they have the context they need to author rules. Forms and Reference Data also require the MDR feature set.
